Privacy Policy

Delivery Pro Route Systems, an Australian sole trader business based in Victoria, Australia (“Delivery Pro”, “we”, “us” or “our”), respects your privacy. This Privacy Policy explains how we collect, use, disclose, store and protect personal information when you use our website, mobile application, progressive web application, support services and related features (together, the “Service”).
This policy is intended to support transparent handling of personal information under the Privacy Act 1988 (Cth) and the Australian Privacy Principles where they apply.
1. Who this policy applies to
This policy applies to account holders, company owners, administrators, drivers, trial users, website visitors, support contacts and individuals whose information is entered into the Service for delivery purposes.
Company customers are responsible for ensuring that they have authority to enter personal information about their drivers, customers and delivery recipients, and for giving any notices or obtaining any consents required by law.
2. Personal information we collect
Depending on how the Service is used, we may collect:
- Account information: name, email address, phone number, password credentials in protected form, account type, company identifier and user role.
- Business and team information: company name, contact details, driver invitations, driver status, route assignments and administrative settings.
- Delivery and customer information: customer or recipient names, addresses, phone numbers, order numbers, product and quantity information, time windows, access codes, delivery notes and other information uploaded by users.
- Proof-of-delivery information: delivery status, completion time, notes, recipient name, signatures, photographs, GPS location, COD amount and related records.
- Route and navigation information: stops, route order, imported files, current location when permission is granted, navigation preferences and route-progress information.
- Technical information: IP address, device and browser type, operating system, app version, timestamps, diagnostic logs, security events, sync status and usage information.
- Support and communications: messages, feedback, attachments and records of correspondence.
- Billing information: subscription plan, payment status, transaction reference and renewal information. Full payment-card details are generally handled by the relevant app store or payment provider rather than Delivery Pro.
3. How we collect information
We collect information:
- directly from you when you register, subscribe, contact us or use the Service;
- from a company owner or administrator who invites you or assigns work to you;
- from files, photographs, PDFs, spreadsheets or text imported by users;
- automatically from your device and browser when the Service is used;
- from device permissions you choose to grant, such as location, camera, photo library or file access; and
- from service providers involved in authentication, hosting, email, billing, diagnostics or app distribution.
4. Device permissions
Location
When you grant location permission, the Service may use precise or approximate location to create proof-of-delivery records, support route functions, open navigation and improve address handling. Location access depends on your device settings and may be disabled at any time, although some features may then be unavailable.
Camera, photos and files
Camera, photo-library and file permissions may be used to capture proof-of-delivery photographs, import route documents or attach records. We only access content you select or create through the relevant feature, subject to the permissions offered by your device.
Notifications
Where enabled, notifications may be used for account, assignment, security, subscription or service messages. You can control notifications in device settings.
5. Why we use personal information
We may use personal information to:
- create and secure accounts;
- provide route planning, customer management, navigation links, driver assignment, proof of delivery, reports, backups and sync;
- process subscriptions and manage trials, renewals and account status;
- communicate about assignments, support, security, service changes and account administration;
- diagnose errors, prevent fraud or misuse, maintain security and improve reliability;
- develop and improve features using aggregated or de-identified information where practical;
- comply with legal obligations and respond to lawful requests; and
- establish, exercise or defend legal claims.
6. Legal basis and authority
We collect and use information where it is reasonably necessary to provide the Service, perform our agreement with you, operate our business, protect users and systems, comply with law, or where you have given consent. Where a business customer enters delivery-recipient information, that customer is responsible for its authority to do so.
7. Disclosure of personal information
We may disclose personal information only as reasonably necessary to:
- company owners, administrators and authorised users within the same company workspace;
- hosting, database, backup, email, authentication, customer-support, diagnostics and security providers;
- payment processors and app stores for subscription and transaction administration;
- mapping and navigation providers when a user chooses to open a route or destination;
- professional advisers, insurers, auditors or prospective business purchasers under appropriate confidentiality obligations;
- government agencies, regulators, courts or law-enforcement bodies where required or authorised by law; or
- another person with your consent or at your direction.
We do not sell personal information.
8. Third-party mapping, app stores and payment services
When you open Google Maps, Apple Maps, Waze or another navigation service, destination and device information may be sent to that provider under its own privacy policy. App stores and payment providers also handle information under their own policies. Delivery Pro does not control those third parties’ privacy practices.
9. Overseas disclosure and storage
Some service providers, app stores, mapping providers or infrastructure may process or store information outside Australia. Countries may include locations where those providers operate data centres or support services. Privacy protections in another country may differ from Australian law.
Where the Australian Privacy Principles apply, we will take reasonable steps appropriate to the circumstances before disclosing personal information overseas, unless an exception applies. We will update this policy when our principal hosting and processing locations are finalised or materially change.
10. Data retention and deletion
We retain personal information only for as long as reasonably necessary to provide the Service, maintain security and backups, meet legal and accounting obligations, resolve disputes and enforce agreements.
Delivery results moved to an in-app trash or recovery area may be retained for the displayed recovery period before permanent deletion. Deleted data may remain temporarily in encrypted or protected backups until the normal backup cycle expires.
You may request account deletion by using an available in-app option or contacting us. A Company Owner or Administrator may remove authorised users and associated access. We may retain limited information where required by law, for fraud prevention, billing records, dispute resolution or security.
11. Data quality, access and correction
You can review and update certain account information in the Service. You may request access to or correction of personal information we hold about you by contacting us. We may need to verify your identity and may refuse or limit a request where permitted by law, in which case we will explain the reason where required.
Delivery recipients whose information was entered by a business customer should generally contact that business first, because the business controls the delivery relationship and source data. We will assist where reasonably required.
12. Security
We use reasonable technical and organisational safeguards designed to protect personal information from misuse, interference, loss and unauthorised access, modification or disclosure. Measures may include access controls, authentication, encrypted transmission, server security, logging, backups and role-based permissions.
No internet transmission or storage system is completely secure. You are responsible for protecting passwords, devices, exported reports and account access, and for promptly reporting suspected unauthorised activity.
13. Data breaches
We maintain processes to assess and respond to suspected data breaches. Where the Notifiable Data Breaches scheme or another law applies, we will notify affected individuals and the Office of the Australian Information Commissioner when required.
14. Cookies and local device storage
The website or progressive web application may use browser storage, session storage, cookies or similar technologies to keep you signed in, remember preferences, support offline operation, protect security and synchronise data. Blocking these technologies may prevent parts of the Service from working.
15. Analytics and de-identified information
We may create aggregated or de-identified statistics about usage, performance and reliability. We may use and disclose information that no longer reasonably identifies an individual for service improvement, security, planning and reporting.
16. Children
The Service is intended for adults and business users and is not directed to children under 18. We do not knowingly allow children under 18 to create accounts. Contact us if you believe a child has provided personal information without appropriate authority.
17. Marketing communications
We may send service-related messages that are necessary for account, security, assignment or billing administration. Promotional emails will include an unsubscribe method where required. Unsubscribing from marketing does not stop essential service communications.
18. Complaints
To make a privacy complaint, contact us with details of the concern. We will acknowledge and investigate the complaint and aim to respond within a reasonable period. If you are not satisfied, you may be entitled to contact the Office of the Australian Information Commissioner.
19. Changes to this policy
We may update this Privacy Policy as the Service, providers or legal requirements change. We will publish the updated policy and revise the effective date. Material changes may also be notified through the Service or by email.
